Rutherford Family Dental is the custodian of the personal health information we hold about you. This policy explains what we collect, why we collect it, and the control you keep over it.

Information we collect

We collect the information needed to provide dental care and to run the practice: your contact details, date of birth, medical and dental history, treatment records, radiographs and intra-oral images, insurance details, and correspondence between us.

When you use this website we also collect basic technical information such as pages viewed and approximate region. This is used only to understand how the site performs.

How we use it

Your information is used to assess, plan and deliver your treatment, to communicate with you about appointments, to submit insurance claims on your behalf where you have asked us to, and to meet our legal and regulatory obligations as a dental practice.

We do not sell your information, and we do not use your health information for marketing.

Who we share it with

We share information only where it is necessary for your care or required by law: with specialists or laboratories involved in your treatment, with your insurer where you have authorised a claim, and with regulators where we are legally compelled.

Every third party we work with is bound by equivalent confidentiality obligations.

How long we keep it

Dental records are retained for the period required by our regulator, which is generally ten years from your last appointment, or ten years from a patient's eighteenth birthday for children.

Your rights

You may request access to your records, ask us to correct anything inaccurate, withdraw consent for non-essential communications, or ask that your records be transferred to another practice.

Security

Records are held in an access-controlled practice management system with encryption in transit and at rest. Access is limited to staff who need it for your care, and every access is logged.
